Known as the unique home of the Concho Pearl, harvested from oysters in the Concho River, Tom Green County is located in Central Texas and has a population of approximately 105,000.
In 2002, Elizabeth “Liz” McGill, Tom Green County Clerk, decided to make a change in the Records Management software running in her office. After an extensive search lasting almost three years, McGill narrowed her options and chose Manatron as her new software provider.
“We chose Manatron primarily because we thought their solution was most like what we were currently running, yet more affordable,” commented McGill. “And because of the similarity in systems, we anticipated a less drastic transition into the new software. However, we have been pleasantly surprised by the additional features and functionality their solution has provided us. Manatron handled the transition smoothly and we are very pleased.”
The Tom Green County Clerk’s office has seen several benefits since their implementation in 2005. Utilizing Manatron’s Public Access module and Back File Conversion services, the County has ceased printing books of their documents and has provided several Public Access terminals in their office allowing visitors access to thousands of previously recorded documents. This has created additional office space as well as freeing staff members to assist additional customers. Furthermore, citizens are able to access information on the Internet from home which has reduced the foot traffic in the office.
The County has also recently completed a back file redaction project in which Manatron utilized its redaction services tool to redact all the County’s existing images - blacking out SSNs and other sensitive data. Moving forward, through Manatron’s AI Redact module, the Clerk’s office is able to automatically redact any new images as they are scanned into the system.
“We have seen some wonderful benefits through our use of the Manatron software,” McGill said. “I have been most impressed with our ability to turnaround work much faster than on our previous system. With Manatron’s Automated Indexing module, we are able to ’read’ a new image during scanning and then populate the index fields in the software with the proper data. This, coupled with the AI Redact feature, has allowed us to complete an entire transaction in one visit, saving everyone time and money.”
